Google Workspace vs Microsoft 365: which fits your team?

Teams often pick a productivity suite for reasons that have nothing to do with the work: it came with the laptops, or the last IT manager preferred it. Both Google Workspace and Microsoft 365 are capable of running an entire organisation. The question worth asking is which one matches how your people collaborate.
Where they genuinely differ
Real-time collaboration. Google was built around several people editing the same document at once, and it still does this more smoothly. Microsoft has closed most of the gap in the browser, but the desktop apps still feel single-owner by default.
Depth of the documents. If your work involves complex spreadsheets, long formatted reports, or heavy data analysis, Excel and Word on the desktop are still ahead. Google’s tools are lighter and faster for everyday documents but hit limits sooner.
Email and calendar. Outlook is a more powerful client for people who live in their inbox and manage a lot of meetings. Gmail is simpler and searches better.
Meetings and chat. Microsoft Teams is a hub that tries to hold everything — chat, calls, files, apps. Google Meet and Chat are more separate, lighter tools. Teams wins if you want one place; Google wins if you find that one place overwhelming.

The part that actually matters
Whichever suite you run, most teams use maybe 20% of it. The productivity gain is not in switching — it is in learning the tool you already pay for. A day of training on shared drives, templates, and the automation features usually saves more time than any migration.
If you are choosing for the first time, pick based on the table above and commit. If you already have one, the better investment is helping your team use it properly.
