About the Project
The PPM (Asset Management) System for the IT Department at Hospital Tengku Azizah (HTA) is a comprehensive solution designed to optimize the management of IT assets such as servers, printers, computers, networking equipment, and other technology infrastructure. The system provides a streamlined approach for tracking, maintaining, and reporting on IT assets, helping ensure efficient use, improved operational uptime, and better resource allocation within the hospital’s IT infrastructure.
The Challenge
Managing IT assets within a large hospital environment like Hospital Tengku Azizah (HTA) requires efficiency and accuracy to support critical operations. The existing systems for asset management presented numerous obstacles, from fragmented tracking methods to time-intensive manual processes. These challenges underscored the need for a more centralized and automated approach to optimize IT asset management. Below are the key challenges addressed by the PPM System:
- Lack of Centralized Asset Management : currently rely on spreadsheets, outdated software, or fragmented systems to track IT assets (computers, printers, servers, etc.), leading to scattered and inconsistent data.
- Ineffective Maintenance Scheduling : Missing regular maintenance schedules can lead to equipment downtime, affecting hospital operations.
- Manual and Time-Consuming Processes : Many processes, such as tracking assets, approving maintenance requests, and generating reports.
Key Features
- Asset Inventory : Asset registration, categorization, depreciation tracking, and reporting.
- User Management : User registration, RBAC, authentication, activity logs, password management, notifications, and account deactivation.
- Customer Management : Customer profile management, customer list, and reporting.
- Approval : Approval workflows, multi-level approvals, approval notifications, history, role-based approval, and audit trail.
- Task Automation and Workflow Management : Automation of routine tasks such as assigning maintenance tasks or updating asset records.
The development of the Plan Preventive Maintenance (PPM) portal for HTA’s aims to address critical operational challenges by providing a comprehensive, scalable, and efficient solution. The portal will centralize asset management, streamline maintenance scheduling, enhance transparency, and ensure better resource utilization.
